The best plumber software for a one-van firm is the one that fixes where you lose the most time or money: catching enquiries, quoting quickly, certificates, scheduling or getting paid. A sole trader usually needs fast quotes, invoices, payment links and a way to deal with missed calls, while firms with several engineers also need scheduling, timesheets and certificates.

What does plumber software do?

Most apps cover some or all of these:

  • Enquiries: capturing calls, texts and web forms
  • Quotes: building quotes from a price list and sending them by text or email
  • Jobs and diary: booking work in and seeing what's on
  • Certificates: gas safety records and other forms, in some apps
  • Invoices and payments: card links, reminders and accounting sync
  • Team features: engineer scheduling, timesheets and job sheets

What do plumbers actually ask for?

The same wishes come up again and again on UK Plumbers Forums. One small firm owner wanted "a suitable App or software that lets me keep track of 3 -4 engineers diary's at once" and couldn't "find anything simple and easy to use" (UK Plumbers Forums, 2016). An engineer asking which app was best for certificates wrote: "I need to join the modern era and dispose of the reams of paperwork !!!" (UK Plumbers Forums, 2019). Another business, with two engineers, still used "paper job sheets for the engineers" and wanted reminders and gas safety certificates in one place (UK Plumbers Forums).

So the common thread is simple: one place for the diary, the paperwork and the customer, and something you can use from the van.

What features matter most for plumbers?

Fast enquiry handling. Plumbing work is often urgent. A customer with a leak will ring the next plumber if you don't answer. Look for a way to deal with calls you miss while you're on a job. Our guide to missed calls on the tools covers the options, and the winter call surge plan covers busy cold snaps.

Quoting from your phone. If you can price and send a quote from the van, the customer has it while the job is fresh. See how to quote a job and quote follow-up texts.

Deposits and card payments. Useful before you order a boiler or bathroom suite.

Certificates, if you do gas work. If you issue gas safety records, decide whether you want them in the same app or in a dedicated certificate app. Many engineers keep a certificate app they trust and use something lighter for the diary and quotes.

Accounting sync. If your accountant uses Xero, QuickBooks or Sage, check the integration on the plan you're buying.

How much does plumber software cost?

Two things to watch. Per-user pricing adds up quickly once you take on an engineer, so work out the total for your whole team. And check whether the price you're looking at includes VAT: Powered Now's prices are shown plus VAT.

Which type of plumber software suits you?

One-person plumber, mostly domestic repairs: keep it simple. You need a way to handle missed calls, quick quotes, invoices and payment links. A full job management system may be more than you'll use.

Plumbing and heating with gas work: consider an app with certificates built in, or pair a simple quoting app with a certificate app you already know.

Firm with several engineers: you need scheduling, job sheets and timesheets. Look at how the price changes per person and who can see what.

How do you choose plumber software?

  1. List your three biggest admin headaches. Missed calls? Late payments? Paper certificates?
  2. Shortlist two or three apps that fix those.
  3. Test on real jobs, not test data, during any free period or money-back window.
  4. Check the phone app, because that's where you'll use it most.
  5. Check you can export your data if you leave.

What should you test before you commit?

Run your test during a normal working week, not a quiet one:

  • Quote a real job from the van and time how long it takes.
  • Book a job into the diary and check the reminders.
  • Send yourself an invoice and pay it, so you see what customers see.
  • Miss a call on purpose and see what happens to the caller.
  • Try it with poor signal, for example in a loft or basement.
  • Check you can export your customers and jobs if you leave.

If an app makes any of these harder than your current way of working, it isn't the right one.

Where does TradiesMate fit?

TradiesMate focuses on the start and end of the job. On Covered you divert the calls you miss to your own UK TradiesMate number. Our AI receptionist answers them, or the caller gets a text from TradiesMate on your behalf asking what the job is, or they can leave a voicemail. The enquiry goes in your Inbox for you to check and call back. The AI receptionist is in beta, see pricing for what's included. From there you can quote from your price book, send the quote by text for the customer to accept, take a card deposit with Pay Now, invoice, and send quote chasers and invoice reminders. See TradiesMate for plumbers and missed-call rescue.

Key takeaways

  • Choose plumber software that fixes where you lose the most time or money.
  • Sole traders need fast quotes, payments and missed-call handling more than complex scheduling.
  • Tradify shows £34 to £44 per user per month, and Powered Now £28 to £40 plus VAT (checked 4 November 2026). Commusoft doesn't publish prices.
  • Gas engineers should decide whether they want certificates in the same app.
  • Test on real jobs, and check data export before committing.

Questions

What is the best plumber software in the UK?

There's no single best. It depends on your size and whether you need certificates and engineer scheduling. Test two or three on real jobs before you pay for a year.

Is there free plumber software?

Tradify and Powered Now both let you try them free for two weeks, then charge monthly. Free quote and invoice templates can work for a very small business.

Does plumber software do gas safety certificates?

Some does. Tradify Pro lists compliance certificates on its pricing page, and Powered Now Professional lists certificates covering gas and electrical work. Check the plan, not just the brand: the cheapest plans at both (Tradify Lite and Powered Now Business) don't list certificates.

Do I need software as a sole trader plumber?

Not necessarily, but quick quotes, payment links and a fast reply to missed calls help you win and keep more work.

TradiesMate Covered is £19.50 for your first 30 days, then £39 every 30 days, with your own UK number to divert missed calls to and 250 texts. Try TradiesMate Covered.
