AI receptionist vs answering service: which suits a tradesman?

Both answer the calls you can't. They go about it differently, and each has things it does well. Here's how to choose for a one-van firm or a small team.

When you're up a ladder, someone else has to answer the phone. You can pay a person to do it, or you can let an AI do it. That's the real choice behind AI receptionist vs answering service. Both beat a voicemail that most callers won't leave a message on.

This guide compares the two on the things that matter on the tools. It doesn't name or price any provider. Check each one's own pricing page on the day you decide.

What an answering service is

A telephone answering service is a company with people who answer calls in your business name. They take a message and send it by email or text, or ring you to put the call through.

You usually divert your own number to theirs, or give customers a new one. Most charge a monthly fee, by the call, or by the minute.

What an AI receptionist is

An AI receptionist is software that answers the phone and talks to the caller. It asks what the job is, takes the details and sends you a summary.

It works the same at 2am as at 2pm. It can't use judgement the way a person can, so how it's set up matters.

Neither column wins every row. It depends on what your callers need and what you want to pay for.

Where a person is better

  • Callers who are upset. A person hears worry in a voice and can respond to it.
  • Complicated questions. If your callers often ask for things off any script, a person copes better.
  • Customers who don't like talking to a machine. Some people hang up the moment they realise.

Where an AI is better

  • Every hour covered the same way. An evening or a bank holiday needs no special plan.
  • Several calls at once. After a storm, three callers can ring at the same time.
  • Consistent questions. It asks for the job, postcode, name and a time every time.
  • A written record. The details arrive in a form you can quote from.

The questions that decide it

Whichever you pick, ask these.

  1. Who do callers think they're talking to? A good AI says it's an AI. A good service says it's taking a message for you.
  2. What happens on a gas or electrical emergency? The caller must be pointed to the right emergency number, not left waiting for a call-back. Ask for it in writing.
  3. Do they give prices or promise visit times? Neither should, unless you've told them what to say.
  4. Where does the message go? An email you read that evening is slower than a text.
  5. Can you pause it? On a day off you may want calls to go straight to voicemail.
  6. What does it cost in a busy month? Look at the rate for calls above your allowance.

What TradiesMate does

We offer the AI route, built into the plan, and it's not the only choice.

When you miss a call and divert it to your TradiesMate number, the caller gets a text-back, can leave a voicemail, or talks to our AI receptionist. The enquiry lands in your Inbox, and you can quote and invoice from the same place.

  • It's included in Covered (£39 every 30 days, half price for the first 30 days) and Covered Team (£79). Minimum is £24 every 30 days and doesn't include it. No VAT is added.
  • It's free while it's in beta, with 60 minutes of AI calls every 30 days. When the minutes run out, callers get the text-back instead.
  • It says it's an AI. It takes the job, the postcode, the caller's name and when suits them.
  • It doesn't book visits, and it doesn't make up prices.
  • For a gas smell or a carbon monoxide alarm, it gives the caller 0800 111 999 and never books the call.
  • It doesn't record call audio.

That suits a firm that wants calls turned into enquiries it can quote. It doesn't suit someone who needs a person to calm a worried caller or handle off-script requests. For those, a human service may be the better fit.

Which one for a sole trader?

A rough guide:

  • A few missed calls a week, mostly quote requests. An AI receptionist is probably enough.
  • Lots of urgent calls where a voice matters. Consider a person, at least for those hours.
  • Both. Some services pair people in the day with AI at night. Ask about it.

The best test is a real one. Call each service or demo line yourself, pretend to be a customer with a leaking tap, and listen. You can hear our AI receptionist answer a call first.

Questions

Can an AI receptionist replace a person completely?

It can answer and take details. It can't use judgement the way a person can, so check how it handles anything it hasn't been told about. Ours passes what it can't deal with to you.

Do callers mind talking to an AI?

Some do, and some don't. Being told up front helps. Ours says it's an AI, and says yes if anyone asks.

Which is cheaper?

It depends on the plan and your call volume. Read how much an AI receptionist costs for how to work it out.

Do I need to change my number to use either?

Usually not. You divert unanswered calls. See call divert codes for how.
